Approvals and roles

A post that is written goes out for review, not online. The loop is included in the price, with unlimited reviewers, and it can be turned off per organization.

The four roles

RoleWhat it can do
ViewerReads the queue, the calendar and the report. Writes nothing.
EditorWrites, edits and submits their posts. Does not approve.
ApproverEverything above, plus approving, requesting changes and setting schedules.
AdminEverything, including scheduling without review, connecting accounts, managing the team and paying.

The role is re-read on every request. Removing someone from the team cuts off the tab they left open, within the second.

The loop

  • The author submits the post. It moves to pending.
  • An approver or an admin approves, and the post enters the queue, or requests changes with a comment, and the post goes back to its author.
  • You do not approve your own post, unless you are an admin. Without that rule, wearing both hats would be enough to empty the loop of its meaning.
  • A post that is approved and scheduled can only be edited through an approver, and it then goes back for changes: editing reviewed text would cancel the review in silence.
  • A post that is published or sending cannot be edited, cannot be deleted, cannot be unpublished. The network has seen it.

Every post carries its log: who wrote, who submitted, who asked for changes, who approved, and when.

Turning approvals off

An admin can switch the loop off under Team. Everyone then schedules what they write, their own posts only: sending a colleague’s unfinished draft is still an act of review.

Turning approvals off does not schedule the posts already pending. They stay pending, and the screen says how many.

Emails

An alert goes to approvers and admins when a post is waiting, to the author when a publication fails, and to the team when a network access is nearing its end. Everyone receives it in their own language. All three can be switched off separately, under Team.

A bulk import sends no approval alerts. Fifty posts submitted at once must not produce fifty emails; they show up in the “Approvals” tab like any other.

An invitation to join the team stays valid for 14 days. Its link is personal and cannot be transferred: whoever opens it joins the team with the role you chose, so give it to the invited person only.
